About the Role
We're looking for a part-time Executive Assistant — a proactive operator who keeps our internal engine running smoothly by supporting our CEO & COO with operations, administration, and day-to-day coordination.
You'll be the vital link between people, process, and communication across SoScale. You'll ensure our systems, workspace, and internal routines run seamlessly — handling everything from HR administration and finance coordination to office management and internal documentation.
You'll make sure the leadership team can focus on growth while you keep the behind-the-scenes operations sharp and efficient.
This is a part-time position (approximately 20 hours/week, flexible scheduling).
💼 What You'll Do
Operations & Administration
- Coordinate general office operations — ensuring our hybrid workspace, supplies, and tools are well managed
- Support HR administration: onboarding/offboarding checklists, contracts, employee records, and policy updates
- Coordinate accounting and finance routines with our external partners (invoices, receipts, payroll inputs, and reporting deadlines)
- Maintain internal documentation — from process templates to company handbooks and Notion pages
- Manage subscriptions, licenses, and software tools to keep the team running efficiently
- Handle travel bookings, company insurances, and event logistics when needed
Marketing & Brand Support
- Support SoScale's brand presence through social media scheduling, event planning, and content coordination
- Help gather and package campaign results, case studies, and team highlights
- Assist leadership with planning SoScale's internal and external marketing calendar (LinkedIn, PR, culture updates)
- Coordinate photoshoots, press materials, presentations, and client decks
- Help plan company-wide events — from kickoffs to team offsites
🧠 What You Bring
- 1–3 years' experience in executive assistance, office coordination, operations, or HR/admin (agency or startup background a plus)
- Highly organized, structured, and detail-oriented
- Comfortable working across multiple tools (Google Workspace, Asana, Notion, Slack, Fortnox or similar)
- Interest in creative industries, marketing, and internal culture
- A proactive problem-solver — you spot what's missing and fix it
- Fluent in English & Swedish
- Available for approximately 20 hours/week with flexible scheduling
